Who we are

Portiq provides intercom and gate-access software for residential and commercial buildings. This policy covers the Portiq mobile app and the Portiq website. If you have questions, contact us at office@portiqapp.com.

What we collect

  • Account details — your name, email address, and optionally a phone number. These come from the invitation your property manager sends, or from you when you set up your account.
  • Device push tokens — an identifier issued by Apple or Google that lets us ring your phone when a visitor calls. Tied to your account, not to you personally, and useless outside our app.
  • Property and unit membership — which building and unit you belong to, your role, and what you are permitted to do (open a gate, receive calls, manage members).
  • Access events — a log of gate openings and entry attempts: the time, the gate, the method used (video call, guest code, Bluetooth, RF tag), and whether it succeeded. Your property manager can see these for their building; they are the audit trail for physical access.
  • Guest codes you create — the visitor name you supply, validity dates, and usage counts.

What we do not collect

  • We do not record video or audio calls. Calls between a visitor and a resident are peer-to-peer through our video provider and are not stored by us.
  • We do not track you across other apps or websites, and we do not sell or share your data with advertisers or data brokers.
  • We do not collect your location. The app uses Bluetooth to detect a gate you are standing next to; that detection happens on your device and no location is transmitted or stored.
  • We do not read your contacts, photos, or files.

Camera, microphone, Bluetooth and notifications

The app asks for these permissions only when the corresponding feature needs them, and you can refuse or revoke any of them in your device settings:

  • Camera and microphone — used only during a live video call with a visitor at your gate.
  • Bluetooth — used only to detect and open a nearby gate.
  • Notifications — used only to ring your phone when a visitor calls and to dismiss that ring when the call ends.
  • Face ID / Touch ID — used only to protect the credentials stored on your own device. The biometric data never leaves your device and we never see it.

Why we are allowed to hold this

We process your account details and access events to provide the service you or your property manager signed up for, and because a building operator has a legitimate interest in keeping an accurate record of who entered the premises and when. Where the law requires consent — for example, to send push notifications — we ask for it, and you can withdraw it at any time in your device settings.

Who else sees your data

We use a small number of processors, and only for the purposes listed:

  • Google Cloud Platform — hosting and database storage.
  • Apple Push Notification service and Google Firebase Cloud Messaging — delivering the call notification to your phone.
  • 8x8 / Jitsi — carrying the live video call. Calls are not recorded.
  • Your property manager — sees the members of their building and the access log for their gates.

We do not sell your personal data. We disclose it otherwise only where we are legally required to.

How long we keep it

Account details are kept while your account is open. Access logs are retained as the building’s security record and may outlive your account in anonymised form — they record that an entry happened, not who you are. Push tokens are deleted as soon as you sign out or delete your account.

Deleting your account

You can delete your account from inside the app: open the Portiq app, scroll to the bottom of the home screen, and tap Delete account. This removes your name, email address and phone number, signs you out everywhere, deletes your push tokens, releases any RF tags assigned to you, revokes guest codes you created, and removes you from your units.

Access-log entries are kept as the building’s security record, but they are no longer linked to your personal details. If you are the only owner of a unit, hand ownership to someone else first — otherwise the unit would be left with nobody who can admit visitors.

If you cannot access the app, email office@portiqapp.com and we will action the deletion for you.

Your rights

Depending on where you live, you may have the right to access a copy of your data, to correct it, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. Email office@portiqapp.com to exercise any of these; we will respond within 30 days. If you are in the EU or UK and you are unhappy with our response, you can complain to your national data-protection authority.

Children

Portiq is not directed at children. Accounts are created by property managers for residents and staff, and we do not knowingly collect data from anyone under 13.

Changes

If we change this policy we will update the date at the top of this page, and for material changes we will notify you in the app or by email.
